1. Who we are and our approach to your privacy
The privacy and security of your personal information is very important to us so we want to assure you that your information will be properly managed and protected when it’s in our hands. Please read this notice carefully as it explains how we collect and use your personal information.

So we can provide our services to you and to manage these services, we’ll ask you to share your personal information with us. The collection and use of information such as your name, address, date of birth, claims history, what/who you would like to insure, medical conditions for travel insurance and conviction details where necessary to provide you with a quotation and/or policy. Without this information, we’ll be unable to assess your application and/or provide claims services.
b) Where we have a justifiable reason, such as:
We may anonymise and combine the information you have given us to understand more about you, create new products and services as well as helping us with our marketing.

4. How do we communicate with you about similar products and services and information
We’ll contact you, in order to communicate our products and/or services to you, which we believe may be of interest to you and which relate to your general insurance needs.
There may be times when we’ll need your permission to provide information about products and services to you, such as:
• where the product or service is not similar to those that we currently provide to you but we believe you may be interested in it
• when you have opted out of us sending details of or contacting you in relation to the products and services we offer

5. Who might we share your information with?

6. How long will we keep your information?
We’ll only keep your information for as long as is reasonably necessary for the purposes set out in this privacy notice and to fulfil our legal and regulatory obligations. 7. Use and storage of your information overseas
The personal information we collect from you may be transferred to, stored and processed outside the European Economic Area (EEA). We or our service providers may use cloud-based computer systems, for example network of remote servers hosted on the internet which process and store your information, to which foreign law enforcement agencies may have the power to require access. We won’t transfer your information outside the EEA unless it was to a country our information regulator has assessed as having adequate data protection laws, or we had taken all reasonable steps to ensure the firm has the necessary privacy and security controls in place to protect your information as if it were in the EEA. Our contracts with these firms will detail the necessary requirements to ensure your information is protected. We’ll assess these firms’ security arrangements from time to time, ensuring they’re only using your information as agreed. 8. How will we deal with others acting on your behalf?
To help manage your insurance policy, we’ll deal with individuals you nominate, including third parties we reasonably believe to be acting on your behalf, provided they’re able to answer our security questions. However, for your protection, if you need to change your contact address, policy coverage or to cancel your policy, we’ll need to speak to you directly, your legal representative, someone you’ve nominated and given us permission to discuss your personal details, or power of attorney.

Please note, in some cases even when you make a request concerning your personal information, we may not be required, or may not be able to honour it, as this may result in us not being able to fulfil our legal and regulatory obligations, or there’s a minimum statutory period of time for which we have to keep your information. If this is the case, we’ll let you know our reasons.
The GDPR grants the following rights for individuals:
The right to be informed: individuals have the right to be informed about the collection and use of your Personal Data.
The right of access: individuals have the right to obtain a copy of your Personal Data as well as other supplementary information.
The right to rectification: individuals have the right to have inaccurate Personal Data corrected and, where it is incomplete, completed. If you think Ayax Global Insurance Broker may hold incorrect Personal Data, please contact our Data Protection Officer.
The right to erasure: in some circumstances, individuals have the right to be forgotten or to have their data erased.
The right to restrict processing: individuals have the right to request the restriction or submission of processing activities. This right is not absolute and only applies in certain situations.
The right to data portability: this right allows individuals to obtain and reuse their Personal Data for their own purpose across different services. Individuals may also request that their information be transferred from one IT environment to another in a safe and secure way.
The right to object: individuals may have the right to object to processing of their Personal Data in circumstances where the Personal Data is processed for: a task in the substantial public interest, the exercise of official authority vested in Ayax Global Insurance Broker and where Ayax Global Insurance Broker relies on a legitimate interest as the grounds for processing. Individuals have an absolute right to stop their data being used for direct marketing activities.
Rights related to automated decision making including profiling: solely automated decision-making, without any human involvement, with legal or similarly significant effects may only be carried out where the decision is: necessary for entering into or performance of a contract, authorised by law or based on individual’s explicit consent.
Communications & Marketing
We may use your Personal Data to contact you with newsletters, events information or company updates. Ayax Global Insurance Broker does not sell, trade or rent your personal information to any other company or organisation. Your details will only be shared with third parties as set out in the section How We Use Your Personal Data and Whom We Disclose it to.
We will respond to you in a timely manner to any requests to correct inaccuracies regarding your personal information and marketing preferences. To do so, please return the message containing the inaccuracies to the sender with details of the correction requested.
